The Project & Design Coordinator works to maintain the highest level of project coordination in addition to assisting with the interior design, budgeting and purchasing functions for new construction projects as well as renovations of existing facilities. This position will work primarily with Design and Construction Project Managers and secondarily with other departments (Development, Design, Facilities and Operations) to ensure all aspects of project scope and schedule are met.

Responsiblities
Construction/Renovation
  • Assist the Project Managers with coordination, preparation, review and finalization of construction drawings/specifications, submittals, RFIs, and Responsibility Matrix.
  • Assist the Project Managers in all areas relating to the construction or renovation including detailed evaluation of comparing budgeted/historical numbers.
  • Provide assistance in setting up meeting agendas, presentation materials and preparing minutes and reports for construction and interior design meetings.
  • Take an active lead role on smaller renovation projects.
  • Facilitate and coordinate the review of shop drawings and other submittals process for Architectural Items and Interior Finishes.
Design
  • Prepare Design and Furniture, Fixtures and Equipment (FF&E) submittals and installation documents.
  • Coordinate and track consultant and vendor contracts and subcontracts.
  • Stay updated with new standards and changes as it pertains to renovations and new development projects. Develop a thorough knowledge of NCG preferences and implement them in the design phase.
  • Assist with documentation of any Owner Furnished/Contractor Installed (OFCI) items needed for the project.
  • Help maintain the design library, meet with FF&E sales representatives, research products, distributors and manufacturers as necessary. Helping find preferred vendors and price negotiating a must.
Purchasing
  • Prepare and submit vendor Purchase Orders.
  • Procure items in a timely manner for new construction and renovation projects.
  • Prepare correspondence, check requests and other documents.
  • Assist with pricing, new product and service research; follow up on purchases or expedite as needed to ensure timely arrival and within budget and communicate to team as needed.
  • Track and coordinate deliveries and installation with onsite personnel and FF&E installers.

Qualifications
  • Willingness to openly embrace and actively demonstrate the company’s Vision, Mission, Values, Culture and Operating Philosophy.
  • Associate’s degree in architectural technology, construction and/or interior design, or equivalent work experience.
  • Must have working knowledge of construction documents (AutoCAD and Revit knowledge a benefit).
  • Experience in selecting and purchasing furnishings, fabrics, flooring, wall covering and millwork.
  • Intermediate skill level for Microsoft programs and Adobe Acrobat Pro.
  • Must have high level of detail orientation, ability to handle multiple projects, and effective time management skills.
  • Ability to handle confidential information.
